The Free University of Brussels (ULB-Université Libre de Bruxelles) has chosen Kosmos for the reworking of its public websites, the creation of an intranet and a course catalogue. This decision is based on the “turnkey” dimensions, the sector and everything integrated into its K-Sup solution, but also on its expertise in implementing large scale projects. By signing this project with a major university situated in the heart of Europe, Kosmos pursues its international development.

ULB en route to be a “Digital University”

ULB wishes to rework all of its websites in a logic of “Site factory”. Apart from creating a new website graphical identity, the challenge is to centralise the management of the main site and its satellite sites with the same CMS (Content Management System). The objective is to have a unique content repository, while organising an enlarged contribution website. The K-Sup CMS meets this challenge perfectly by simplifying the management of an unlimited number of sites with an ergonomy and consistent graphical universes.

Moreover, ULB wishes to develop its internal communication by making a renovated and enriched intranet portal available to personnel. Thanks to its native feature of selective distribution of information, the Kosmos solution allows one or several websites with restricted access to be easily created and to publish customised information depending on the public connected. K-Sup has a group of connectors which allow the CMS to be integrated within the University’s Information System (IS). In this way, the user can gain access to all of their digital services.

The third objective of ULB is to put in place, a management and distribution tool for its course catalogue on the internet. The “Course offerings” extension of K-Sup allows data coming from the Administration Office to be gathered and supplemented by presentation and valuation information from the different educational programmes. It also allows the generation of contacts to be simplified by encouraging students and future students to perform an action on the site (downloading of brochures, making contact with the school or performing on-line registration).

Web-sites centred on the user

The ULB web-sites shall be designed to provide the user with information most suited to their profile (future student, public-at-large, alumni, personnel, etc.) working from a “design thinking” approach. This methodology is based on user experience design workshops as well as the creation of a dynamic prototype, illustrating the main user paths. The prototype is then tested by a panel, representative of the different targets which allows the architecture and the ergonomy of the future sites, to be defined.

A professional expertise for the publication and the upgrading of the course catalogue

To ensure the upgrading of its course offerings, Kosmos offers both advice and assistance for defining the modalities of presentation of the catalogue (by type of diploma, by level, etc.). Kosmos consultants also assist with setting up a decentralised contributors network organisation and the modalities of integration into the school information system (management repository, candidature / registration solution).

A progressive deployment and customisation methodology

To assure the progressive implementation of the project, Kosmos relies on an iterative deployment methodology, integrating agile concepts which provide for the intuitive handling of K-Sup, a conduit for change and adjustments throughout the project, taking user feedback into account.
